With your browser open:
  1. Press Ctrl+Shift+Del.
  2. From the Time range list, select All time, and then select all checkboxes.
  3. Close the browser.
  4. Try to access Inspire again.

Enhancements to component management

Understand new rules for adding the component name to a report filename

If a report is run on single component, then Inspire adds the component name to the CSV filename. If a report is run from the selected components panel, Inspire generates a report for each component and uses the component name in the CSV filename.

Use the newly renamed Map Asset report

The Map Asset report has been renamed to the Component Asset report. This reflects the new ability to run the Component Asset Report on any type of component, except for binary and workflow components. The report contents remain the same, however all menu items, in-app notifications, Slack and email notifications, and tooltips use the new name. You access the report option from the Components browser, a project, and the Selected Components panel.

Enter a comment when submitting changes to a component

A new optional feature called SaveSubmitComments has been added to Inspire. By default, this feature is not enabled and is set to false. If an administrator enables this feature, Oxygen users are prompted to enter a comment when they Save and Submit changes to a component. The comment is optional. Any comments are displayed in the history record for the Save and Submit action.

Use new fields when approving or unapproving referenced components

New Label and Comment fields have been added to the Approve or Unapprove referenced components screen. These fields are optional. They do not affect the filename. If used, they are applied to the history records.

See new columns for State and Filename in reports

In the Component Asset and Folder Map asset reports, two new columns have been added. One new column called State is displayed after the Type column. The other new column is called Filename and it is displayed after the Name column.

Start a project workflow from a new option in the Components browser’s Selected Components panel

In the Components browser, a new option called Start Workflow has been added the Selected Components panel. This is useful if you want to select components first and then create the workflow around them. After you select the Start Workflow option, the Project Workflow screen opens so you can choose the project where the workflow is saved, and then you can select the workflow template. When you add the workflow details, the selected components are populated in the appropriate fields.

Use Global Find and Replace with a backslash

In the Components browser, after selecting multiple components, you can use the Find and Replace option in the Selected Components panel. Previously, including a backslash (\) in either the Text or Attributes fields caused an error and prevented the search from completing. Now, you can safely include a backslash (\) in your search parameters without triggering an error, and the Find and Replace operation completes successfully.

Enhancements to projects

Set the State of a project assignment to Accepted or Rejected

Previously, a user could only set the State of a project assignment to Completed. Now, a user can also set the State to Rejected or Accepted, and both new states follow the same rules as Completed. The Accepted and Rejected states have been added in preparation for future development, where they will play a more significant role in upcoming workflow and assignment features.

View assignments associated with a selected project workflow

In the Workflows module, a new Assignments panel has been added to the Projects tab. This panel displays the assignments created for the selected workflow. A user can select an assignment and then use the Go To option to open the assignment details.

Use a new way to cancel and remove a project workflow

In the Workflows module on the Projects tab, a user can Cancel and Remove a workflow. Cancel is available if the user is the project owner or an Administrator and the workflow is in the Executing State. Remove is available if the workflow is cancelled and the user is the project owner or an Administrator.

Use the new Assignment State column in the Workflows module

In the Workflows module, on the Projects tab, a new column called Assignment State has been added. This column shows the current state of the active project assignment within the project workflow, displaying one of the following values: To Do, Ready to Claim, Completed, or Cancelled.

Use Notes during an assignment

When working on a project assignment, you can add a Note to provide more information about your work. You can see a list of Notes associated with an assignment by using the Options menu, selecting View Assignment, and then selecting the Notes tab. Notes are different from the assignment Description. Description is a single text string that populates the Assignment Notifications.

Create a project workflow using the newly redesigned screens

Previously, you had to complete four pages of screens to create a project workflow. To simplify the process, now you only need to select a template and then complete one additional screen to configure the details. Before a project workflow is started, all users in all Activity Workgroups are added as project Participants so the project owner does not have to add them manually before starting the workflow.

See a snapshot created when completing an assignment

Inspire now automatically creates a snapshot of all components included in an assignment when a user marks the assignment as Completed. Inspire assigns the snapshot a Process of CompleteAssignment. Inspire also gives the snapshot a comment that contains the project name, the workflow name, and the assignment name. You search for the snapshot on the Changesets tab using a Process option of CompleteAssignment.

In a project, a new option called Start Workflow has been added the Selected Components panel. This is useful if you want to select components first and then create the workflow around them. After you select the Start Workflow option, you can select the workflow template. When you add the workflow details, the selected components are populated in the appropriate fields.

Add a Description and Note at each step of a project workflow

Each time an assignment in a workflow is completed, a user now has the option to add a new Note to inform the next user's assignment. Each Note's content is saved along with the associated Project Activity, Assignment State, and who the Activity was Assigned To. The user also has the ability to edit the Description. The Notes option is only available for project workflows and not available for review workflows. Several minor note issues were also fixed when adding this functionality.

View the Notes added during a project workflow

When managing a project workflow, you see more tracking details by reading the Notes users can leave when completing an assignment. To see the Notes, use the workflow's Options menu to select View workflow notes. A new screen shows a list of Notes that can be expanded to see the Note’s content along with the associated Project Activity, Assignment State, and who the Activity was Assigned To. The Notes option is only available for project (topic) workflows and not available for review workflows.

Automate the Approval process in a project Workflow

When designing a project workflow template, you can assign an Action to a Transition to help guide users through approving changes to components. Two new Actions are now available: InspireCreateApproval and InspireApprove. The InspireCreateApproval action is meant to be used on an inbound transition (From). When a workflow is advanced to a new task that has this action, the user will be prompted to include referenced components. After that, a notification is sent to all users in the workgroup for the task and then the workflow advances to the next task. The InspireApprove action is meant to be used on an outbound transition (To). When a task is completed with this action, the components are approved. If Electronic Signature is turned on, the user is asked to add their signature.

Understand the restrictions on advancing a project workflow associated with a review

When a workflow Transition has an Action of InspireCreateReview, Inspire opens a new Create Review screen and automatically populates any known details so the workflow user can quickly create the review and advance the workflow to the next stage (Reviewing). Inspire now prevents a user from advancing the workflow while the review is still active. If the user tries to advance the workflow, they now see the following message: The task cannot be completed because it is associated with an active review {review number}.

Understand restrictions on saving workflow templates

When working in the workflow editor, a template cannot be saved if any Activity does not have an associated Project Activity assigned.

Use a new tag to skip referenced components when approving

Components can now be given a system tag of ApprovalNotRequired to prevent them from appearing in the Approve and Unapprove screens in Project workflows. If a user selects "Yes" to Include Referenced components, Inspire only adds the components that are not tagged with ApprovalNotRequired to the project assignment.

Use a graphical view to see a workflow's progress

To graphically show the progress of a workflow, Inspire now provides a new menu option called View workflow status. You access this option in a project on the Workflow panel. Use the workflow's options menu to select View workflow status and open the workflow editor in read-only mode. You use the highlight color of an Activity to see the status: the current task is highlighted in yellow, completed tasks are highlighted in green, and overdue tasks are highlighted in red. You also see Activity details such as the Completed date, the User assigned, and if the task is Claimable (along with all users who can claim the work).

See the complete name of a component in review

When working in a review, if a component name in the Review Components panel is truncated, a user can hover over the component name and see a tooltip containing the entire component name.

Enhancements to translation management

See translation quotes by language and batch

In GlobalLink Enterprise projects, translation quotes can be configured at the Submission, Language, or Batch level. Previously in Inspire, you could only work with quotes when GlobalLink Enterprise projects are set at the Submission level. Now in Inspire, quotes can be based on any of the language, batch, and submission levels, and the Approve option is available in all cases.

See a new status in the Translation completeness report

If the TranslationLockSourceDisabled feature is set to true, then a source component can be edited while translation is in progress. If changes were made, when you ran a Translation completeness report for the source, it showed "no issues". This status suggests that the appropriate translation exists. Now, when this scenario occurs, and you run a Translation completeness report for the source, you see a status telling you that the translation is out of date. This new status identifies that the translation doesn't have the same content as the source and should be translated again if necessary.

When a user cancels a translation request, they may not realize how large an impact that action can have. To help the user decide whether to proceed or not, the confirmation screen includes the number of files that are affected.

Enhancements to administration

Synchronize without adding support users to administrator roles

Now, synchronization of client subscriptions does not automatically add Support users to the System/Application administrator roles. Support users are only added to defined Default roles.

Use Skip Id when a schema doesn't support an ID for an element

An administrator can create can an element in Element Management and select an option called Skip Id. This is option. By default, this option is not enabled and set to false. If an element has Skip Id set to true, when content is imported, no ID is generated. In the Oxygen editor, if an element has Skip Id set to true, no ID is generated when the Generate IDs or Save and Submit options are used. This behavior is enforced regardless of whether the automaticIds option is turned on or off.

Allow Inspire to find the schema name

An administrator can provide a way for Inspire to find the Schema Name for components that are not DITA or DocBook. Administrators can use the Advanced settings option to open the Component Type Configuration screen. When creating or updating a component type that isn't DITA or DocBook, an admin adds a name to the Xml Schema Name - XSD field. Inspire can then use the Schema name when a user selects the Validate XML option in the Component browser.
