Enhancements to component management

Go to all the components listed in a section of a Completeness report

You can submit a request for Inspire to provide details about a component before you send it for publishing or translation. When reading the report, you can now use one link, Go to all, to open all components in a section of a report, such as Invalid XML, Comments, and Tracked changes.

Go to all. If you want to open the folder that contains all the components listed in a section of the report, click the Select All link.

  • If you click this link from an email, a browser tab opens, and Inspire opens to the Components browser.
  • If you click this link from a notification inside of Inspire, the Components browser opens.
  • In the browser, you see all of the components from that section of the report highlighted.

For more details, read: View a completeness report for one component.

Use the Approve referenced components option

In the components browser you can take actions on components in the Components tab when you right-click a component or open the Options menu.

In the Options menu, the Approve referenced components option is always available so you can see a list of all referenced components and approve them at the same time.

For more details, read: Approve component references.

Filter the list of referenced components and save the results to a CSV file

You can see all references a component includes using the Details option without having to open the component.

  • After selecting Details, select the References tab to see a list of components that are referenced in the selected component.
  • In previous releases, you could save the list of component relationships to a CSV file by selecting Save as CSV.
  • Now you can filter the list of components before saving the list to a CSV file.

This creates a CSV file that contains relationship details only for the results of the search.

For more details, read: View component references.

Filter the list of where a component is used and save the results to a CSV file

You can view all components that reference the selected component from the Where Used tab.

  • After selecting Details, select the Where used tab to see a list of components that reference the selected component.
  • In previous releases, you could save the list of component relationships to a CSV file by selecting Save as CSV.
  • Now you can filter the list of components before saving the list to a CSV file.

This creates a CSV file that contains relationship details only for the results of the search.

For more details, read: See where a component is used.

Use GoTo to open the folder containing the file in the changeset record

You can see an ongoing record of all changes made to the components in your instance of Inspire in the Changesets module.

On the Changesets tab, from the Options menu, you can now:

Go To—this opens the Components tab and the folder containing the file in the changeset record. In the Components browser, the file is automatically selected for you.

If there are multiple components and they are in different folders, you see the items from the first folder listed in the Folders pane.

For more details, read: See all changes to all components.

Approval may set a green system lock

In the Components grid, Inspire uses the six unlabeled columns before Name to show you an icon.

  • These icons quickly let you know the characteristics of a component.

A new icon has been added to the second column (State).

  • It is a green system lock.
  • It tells you that a component has been approved.
  • You only see it if an administrator has configured components to be locked on approval.

You see this icon anywhere the component name is displayed, including:

  • Projects
  • Dashboard
  • Reviews
  • Selected Components panel

For more details, read: What do all those icons mean?

Understand new rules for approving and unapproving components

If you Login as a user that does not have any of the following permissions:

  • An administrator
  • Added to the Content Browser's can_approve module property
  • Added to the Content Browser's can_unapprove module property

In the Components browser, in the Options menu, you see the Approve and Unapprove options are greyed out and not available.

If you attempt to do any of the following actions, you see a notification that you do not have permission:

  • From the Approve or Unapprove components option, click Approve.
  • From the Approve or Unapprove components option, click Unapprove.

If a component is locked and you cannot unlock it, you can still do the following:

  • Run a component completeness report on a locked map.
  • Add locked components to a review as Context only.

For more details, read:

Use advanced search to find a folder or a path

You can use the advanced search query builder for greater search flexibility and to search for structural conditions.

Now you can search for:

  • A folder. If you want to find a folder in a large hierarchy, you can search for it using Advanced Search tools.
  • A path. If you want to find where a component is stored in a large folder hierarchy, or find what files are stored in a folder that has a long folder path, you can use Advanced Search tools.

For more details, read:

See the new Reference Components option in the Advanced menu

In the components browser you can take actions on components in the Components tab when you right-click a component or open the options menu.

Now, you can select a new menu option when you right-click a component, and select the Advanced menu.

  • You see a new option called Select Reference components…
  • From a source component, you can quickly select other components that are referenced without opening the source component and manually finding all the references.

For more details, read: Select Reference components.

Use the new Rename option on the Selected Components panel

On the Components tab, you can select multiple components to update at the same time.

Now you can rename multiple files at the same time.

  • You can add a prefix to all the component display names.
  • You can add a prefix to all the component file names.
  • You can rename all files to the prefix only.

You see a notification when the rename process completes.

For more details, read: Rename multiple components at the same time.

  • Click a link on the Component name to open the component in viewer or editor depending on if the component is locked or binary.
  • Click a link on the file name to open the file location in the Components tab.

  • Click a link on the file name to open the file location in the Components tab.

For more details, read: Generate an approval report.

Enhancements to review management

See filtered content in the review editor

Authors can change the appearance of text in a component to show or hide content that they mark as conditional.

  • Authors identify conditional text by adding profiling attributes.
  • This lets them produce more than one version of a document when the versions differ in minor ways.

Now, when you open a review, you may see:

  • A yellow banner at the top of the screen. In the yellow banner, you see:
  • The name of the group of profiling attributes in bold.
  • The name of the specific profiling attribute in square brackets [].
  • Blank spaces. This is where content is not being shown because it didn't have the profiling attribute applied that the review coordinator specified.

For more details, read: Filter profiled content in the review editor.

Removing a reviewer

When a reviewer is removed from a review using the Remove action:

  • Their State changes to Cancelled.
  • The Remove action is no longer available.

Disabling the Remove action keeps it consistent with the functionality of a Completed reviewer state where the Remove action is also disabled.

For more details, read: Add or remove reviewers.

Use advanced search to find a review

For greater search flexibility and to search for structural conditions, you can use the query builder to find a review.

Now you can create a query for specific aspects of a review. Use advanced search to find a review by:

  • Approval comments. When a review moves to a state of Resolving, an admin or review coordinator can mark the entire review as Completed and optionally approve components.
    • Regardless of whether components are approved, the user resolving the review can enter a comment on the Review Approval screen.
    • You can search these approval comments to find a review.
    • You cannot search for comments or discussion within a review.
  • Approved review components. When a review is in a state of Resolving, after all reviewers have marked their reviews as Completed, review coordinators and administrators have the option to approve components in the review.
    • You can search by the criteria that when the review was resolved components were approved or not approved.

For more details, read:

Approved referenced components in a review

When a review moves to a state of Resolving, if an admin or review coordinator is approving components in the review, they can also approve or unapprove components referenced by the topics in the review.

  • You can choose which components referenced by review topics you want to approve or unapprove.
  • After approval, components may be locked with a green system lock.

For more details, read: Approve or unapprove referenced components in a review.

Set Before due and Overdue notifications for reviews

When you select an option that requires Inspire to perform a task, you may get a notification about its progress.

  • By default, Inspire is allowed to send you notifications in all three available places: Email, Slack, and in the Inspire app.
  • You can use the Settings option to manage when you get a notification and where.

Now you can set notification preferences for reviews.

  • Set the number of days before a due date. You also can set how often the notification repeats.
  • Set how often you want to be notified with a review is overdue.

By default the notification service runs once a day.

For more details, read: Set notification preferences for Reviews.

Enhancements to translation management

Add the Inspire Translation Job Id to the Submission Name when setting options in an Admin translation configuration

If you want to reuse a group of translation options repeatedly without having to re-enter or select the information for every translation job, an Administrator can create a configuration.

Now an Admin can add the Inspire Translation Job Id to the Submission Name when setting options in the translation configuration.

  • This lets you see the Inspire Job Id in Project Director.
  • In Translation Project, you must select a PD Rest API configuration.

For more details, read:

Send multiple files to translation in one or separate submissions

When you select multiple files to send to translation at the same time, you can choose to create one submission that contains all files or a separate translation submission for each file.

For example, if you select five maps and go to the Selected Components panel, you can select the Translation option and specify if you want to send them all in one translation job or split them up.

On the Selected Components panel, when you select Translate, you are asked if you want to create on or multiple translation jobs.

If you select Yes:

  • The Translate component screen opens.
  • You fill out the information on this screen once for all separate jobs.

After you click Translate:

  • Each job is named differently using the name of the source component.
  • Except for the name and component, all separate jobs share the same submission details.
  • Multiple translation jobs are created. One job per selected file.
  • You receive a notification for each job separately.

If you select No:

  • The Translate component screen opens.
  • You fill out the information on this screen once for all files.

After you click Translate:

  • The job is named after the first component listed.
  • One translation job is created that contains all files selected.
  • You receive one notification for the job.

For more details, read: Creating separate submissions from a batch.

See dates and times on the Translations Management tab for the Queued, Processed, Started, and Submitted phases

After you create a translation job, you can go to the Translations Management tab and see a new column for each of the following:

  • Queued
  • Processed
  • Started
  • Submitted

This lets you see the date and time when each phase was completed without having to open all the separate notifications to see the information.

For more details, read: Things you can do on the Translations Management tab.

See translation email and behavior changes

On the Translation Management tab:

  • The RequestId column is hidden by default.
    • The RequestId column is displayed containing identifiers.
    • The column is not sortable.

After you send components to translation:

  • The email and notifications have been changed to say Translation Job instead of Translation Submittal.
  • If a translation fails, a notification is sent quickly.

For more details, read:

Use new navigation links in a Translation Report

On the Translation management tab, after you select a translation and select Create Report, you can review it. If you need to open a component in the report, you can:

  • Click a link on the Component Id to open the component in viewer or editor depending on if the component is locked or binary.
  • Click a link on the filename to open the file location in the Components tab.

For more details, read: Create a report for a translation job.

Enhancements to administration

Control if a green system lock is set on a component after approval

You can let other Inspire users know if a component is in a state of completion by giving it an approved state.

  • After approval, components may be locked with a green system lock.

Now, an administrator can control if a system lock is placed on the component after a user approves it. By default, this optional feature is set to false, and a lock is not placed on a component after approval.

For more details, read: Control if a lock is set after approval.
