Enhancements to content authoring

Use a new way to add conrefs and xrefs

In the Oxygen editor, if you want to quickly add a reference to content in a different component, instead of using the toolbar or right-click menu options for inserting a link, you can use the new left and right side panel options.

  • You can find the folder containing the component you want to reference in the Folders pane.
  • After you select a folder, you can see the files it contains on the right side panel in the Components pane.
  • From the Components pane, you can select the type of link and quickly drag the component into the center pane to create a reference.

For more details, read:

Move or copy elements in the Oxygen editor using drag and drop

When you're working in the Oxygen-based editor, you can quickly edit XML elements using the Drag and Drop icon or a keyboard shortcut.

This option lets you move or copy an existing element to a new place in your document structure.

  1. From the Oxygen toolbar, you can turn on Drag and Drop.
  2. To move an element, click, hold, and drag it from one place and drop it to a new place.
  3. To make a copy of an element, use a Ctrl or Cmd key before grabbing the element.
    1. When you drop the element, you are asked if you want to add the copy as a content reference (conref).
    2. To create a copy of the element that is read-only and can only be edited from the source element, click Yes to create a conref.
    3. To create a copy that you can edit independently of the source element, click No to create a cross-reference (xref).
When you're done moving elements, you can hide the Drag and Drop icons.

For more details, read: Move or copy elements using drag and drop

Always see tracked changes from users joining a shared editing session

When you're working in the Oxygen editor, you can allow other users to edit the component at the same time.

The Track changes feature works differently if you join a shared session.

  • The user starting the session has the Track changes option in the toolbar and can turn it on and off.
  • All other users joining the session don't have the Track changes option in the toolbar.
  • All changes are tracked by default for all users joining a shared editing session and this option can't be turned off.

For more details, read:

Edit a topic as XML code and see the last line

While using the Oxygen-based editor to create and edit XML-structured documents, you can choose between different ways to edit a component.

  • Previously if you edited a component in the Oxygen editor, clicked the More Options menu, and selected Edit as XML, you saw that the bottom of the file is cut off. You could scroll down to the end of the file but not actually see the last line.
  • Now, opening a large XML topic and switching to EDIT AS XML shows the bottom line of the XML file.

For more details, read: Switch between Author and XML mode

Save your changes after switching between authoring modes

While working in the Oxygen editor, if you want to edit text and images using both a code interface and a graphical interface, you can easily switch between Author mode and Edit as XML mode.

  • Previously if you edited a component in the Oxygen editor, made changes in Edit as XML mode, made changes, saved them, switched to Author mode, then switched back to Edit as XML mode, you weren’t able to save your changes.
  • Now, after switching between authoring modes and making changes to your content, you can click Save.

For more details, read: Switch between Author and XML mode

Enhancements to component management

Create valid links when importing a ZIP file

Previously, when importing ZIP files with folders, valid content reference (conref) links weren't created.

Now, when importing ZIP files with folders, Inspire creates valid conref links.

For more details, read:

Preview the conrefend attribute

To pull a sequence of two or more elements into a topic, use the conrefend attribute in combination with the conref attribute.

  • Previously when comparing maps and topics or previewing them as HTML in Inspire, the conrefend attribute wasn't shown.
  • Now, when you compare maps and topics or preview them as HTML in Inspire, the conrefend attribute is supported.

For more details, read:

Import zipped files with GUIDs

You can now import structured ZIP files that contain GUIDs in the filenames without losing the GUID or the file being automatically considered new content.

  • If the file exists in Inspire, the existing file is updated.
  • If the file doesn't exist in Inspire, the file is added to the correct folder structure.
  • Inspire also maintains GUIDs within href, conref, and conrefend references.
  • Zips that are invalid will fail import.
    • The ZIP must have less than 50 folders.
    • The filenames must be less than 100 characters, not including the GUID or extension.
    • The folder path must be less than 255 characters.

For more details, read:

See a preview of the Reports tab

In the top Inspire menu, there is a new option for Reports.

This is an option for a new feature that's coming soon!

In the future, you'll be able to:

  • Use a dropdown to select one of the reports provided by Inspire
  • View a report

For this release, if you click the Reports option you only see the screen without any active functionality.

Stop seeing errors related to ditabase

Inspire now creates valid ditabase references in the following places:

  • Importing. When you import a topic with a conref to a ditabase topic, Inspire creates a valid reference.
  • Managing relationships. If you use a conref to a ditabase topic, Inspire no longer identifies it as an invalid relationship.
  • Branching. If you branch a topic and:
    • It has a conref to a ditabase topic
    • You include all referenced components in that topic

⇒ The ditabase references are branched and valid.

  • Translation. If you send a file to translation and:
    • The file has a conref to a ditabase topic
    • You include all referenced components

⇒ The translation targets are created and the links are valid.

  • Authoring content.
    • If you're editing a topic that has a conref to a ditabase topic, the link is resolved in Oxygen without errors.
    • When you click Save and Submit, Inspire creates a valid reference.
  • Event log entries.
    • Previously if a topic included a conref to a ditabase topic, you would see a corresponding issue in the event logs.
    • Now if a topic includes a conref to a ditabase topic, the reference is valid and isn't logged as an error.

See more details on the Components tab

When you open the Components tab, only a few columns are displayed by default: Name and Type.

If you want to see more details in the grid, you can add more columns. Two new columns have been added to the list of details you can show.

  • The new Locked By column can be shown in the Components browser.
    • See the name of the user who has the component locked.
    • This column is hidden by default.
    • You can sort by this column.
    • When saving the Components list to a CSV file, the Locked By column is included with the user's email.
  • The new Locked Date can be shown in the Components browser.
    • See the date and time when the component was locked.
    • This column is hidden by default.
    • You can sort by this column.
    • When saving the Components list to a CSV file, the Locked Date column is included.

For more details, read: See more details in the component grid

Schedule a publishing job

Previously, you had to manually send a component or map to be published, and it occurred right away.

Now, you can enable an option to schedule the Time and Day (frequency) when a topic or map is published.

  • Inspire checks the publishing profiles every 30 minutes.
  • All publishing jobs are submitted to one queue.
  • In Time, select when you want Inspire to submit a job to the queue to publish the component(s).
    • You can select a publishing (Start) Time between 12 AM and 11:30 PM.
    • The options available occur every 30 minutes between this interval.
  • In Day, select how often you want to repeat the process of submitting a publishing job for the component(s).
    • Every work day (Monday, Tuesday, Wednesday, Thursday, Friday)
    • Every day (Monday, Tuesday, Wednesday, Thursday, Friday, Saturday, Sunday)
    • One Day of the week (Monday or Tuesday or Wednesday or Thursday or Friday or Saturday or Sunday)
    • One Day of the month (1 - 31)

For more details, read: Schedule publishing

Go to a folder more quickly

If you have an extensive list of components, you can search for it in the Components browser. After you find it, you can also have Inspire show you where a component is saved.

Previously when you go to Components, search for one, right-click and select Go to folder, then after some time has elapsed, in the Folders pane, the folder where the component is stored is highlighted.

Now the Go to folder option is optimized to select the correct folder in a reasonable time.

For more details, read:

Use the new Selected History pane

You can use a component's snapshot history to select two versions and display the differences between them in a single pane in a read-only viewer.

Now, if there are multiple pages of snapshots, you can navigate to the other pages to select a snapshot for comparison.

  1. In the Components pane, right-click the component and then select Details...
  2. On the Component Details dialog, select the History tab.
  3. Select the checkbox next to the two snapshots that you want to compare.

Look at the bottom of the screen to see which snapshots you've selected. They're listed in the new Selected History pane.

For more details, read:

Branch recursive maps and topics without errors

Inspire now supports the following branching use cases without generating errors:

  • Branch a map with topics that cross-reference themselves
  • Branch a map with topics that cross-reference the map
  • Branch a topic with cross-references back to itself

For more details, read: Branch components

Enhancements to translation management

Force a translation job to be Completed

Administrators can now review jobs in the following State and force them to have a status of Completed:

  • Needs Translation
  • Translating
  • Partially Completed
  • Cancelled

This is helpful if you have a job with multiple components and most are translated but the rest are cancelled.

Also, sometimes you know that a component you sent for translation isn't ever coming back. This causes the State of the job to remain as Partially Completed.

You can decide the job is done and manually set the State to Completed.

For more details, read: Force a translation job to be Completed

Translate a foreign language to English before the target language

If you create content in a language other than English:

  • You can configure Inspire to translate your content to English first.
  • Then Inspire automatically creates a job to translate the English source to the target language.

By default, this feature is not active.

For example, to translate French to Romanian where the Romanian vendor requires an English source:

  1. An administrator enables the PivotToEnglish feature.
  2. Topics and a map are created in French.
  3. The map is sent to translation with the Pivot to English option selected and the Translation Target language set to Romanian.
  4. Inspire creates a translation job with French as the source language and English as the target.
  5. When you import the English translation files into Inspire, a new job is automatically created with a source language of English and the target language set to Romanian.

For more details, read:

See an updated message when canceling a translation language

If a translation job is active you can remove one or more languages from the translation job.

Previously, if you: Go to Translations, right-click a job, select Update, select the Languages tab, right-click the language you don't want, and select Cancel.

The confirmation screen contained the following message, "Do you want to cancel languages in PD Rest?”

Now the confirmation screen says, "Are you sure you want to cancel translation for these languages?"

For more details, read: Remove a component or language from a translation job

Enhancements to project management

Use new Workflow options

Previously, when you created a workflow, you were required to assign a Due Date for all assignments.

Now when you create a workflow:

  • On the Next Task dialog, the Due Date is optional so it can be set by a user after they complete a task.
When a user completes the task, they can also assign a user to the next task

For more details, read: Create a workflow from an existing project

Publish Server

After authoring your content in Inspire, you can publish components in a format your customers can read. Publish Server lets you manage publishing jobs after you submit them in Inspire.

Enhancements to plugin management —

Upload a plugin with a file size of 100MB or less

When you log in to Publish Server, to upload a file you can click the Plugins menu button, choose a file, and click Open.

  • Previously you were limited to files of 39MB or less.
