Inspire Release 2025.1.6.0

Enhancements to content authoring

Insert a content reuse reference in a map using a button

If you want to reuse a specific part of a component's content and make it appear (exactly as it is) inline where you reference it, you can insert a content reference (conref) into a map. There are now two ways to add a conref to a map: using the toolbar, and using drag and drop. In the Oxygen map editor toolbar, there is now an Insert a conref button you can click.

For more details, read: Add a conref to a map in Oxygen.

Enhancements to component management

Delete tags for multiple components at once

In the Selected Components panel, you can now manage the Inspire component tags using the new Update tags screen. On this screen you can choose to delete one or more previously existing tags from all selected components at once. The new Update tags screen is available from the Selected Components panel in both the Components browser and in a project.

For more details, read: Apply tags in the Selected Components panel.

Update tags for multiple components at once

In the Selected Components panel, you can now manage the Inspire component tags using the new Update tags screen. On this screen you can choose to select a new tag and add it to all previously existing tags, select a new tag to replace all previously existing tags, or delete one or more previously existing tags. The new Update tags screen is available from the Selected Components panel in both the Components browser and in a project.

For more details, read: Apply tags in the Selected Components panel.

New permission requirements for moving and deleting components

The Update and Delete component permissions are no longer tied together. If you want to move a component between folders, you must have the Update permission for the component. The Update permission no longer lets you also delete the component by default. You must explicitly have the Delete permission to send the component to the Deleted Items folder. If you have permission to delete a component, you can no longer also move the component between folders by default. You must explicitly have the Update permission to move the component.

For more details, read:

Check for Inspire tags in the Components browser

Component tags are used by Inspire as metadata for processing purposes but you can also add them for identification, searching. You can easily see if a component has a tag by looking in the Components browser in the new Tags column. To see what kind of tags are applied, you can open the component Details or hover your cursor over the tag icon.

For more details, read: Check for Inspire tags in the Components browser.

Configure notifications for when a branched component is included in a report

When you're working with a component, and you select an option that requires Inspire to perform a task, you get a notification about its progress. You can review the list of actions in the Components module that trigger a notification and configure your preferences for whether you want a notification, and where you want to see it. Now you can configure your notification preferences for when a report is created for a component that is a branch or included in one.

For more details, read: Set notification preferences for components.

See improvements when importing content

Previously, if you imported a ZIP file that contained folders and references using a shorthand syntax (#./), the imported components showed an invalid relationship icon. Now those components are imported with valid relationships.

Previously, after components were imported, their State (valid, invalid) did not correctly describe the state of the relationships. For example, a valid component displayed an Invalid State icon, or an invalid component displayed a Valid State icon. Now, after you import components, their State (valid, invalid) correctly describes the state of the relationships.

Previously, when you imported components, their relationships were not analyzed until after the component was completely imported. This resulted in seeing references changing after the import complete message. Now, when you imported components, their relationships are analyzed during the imported process so the references won't change immediately after import is complete.

For more details, read: Import components.

Remove a property from a component without error

Previously, in the Components browser, if you opened the Component Details and selected the Properties tab, removing the Template property and saving produced an error and the property was not removed. Now you can remove the property and click Save without seeing an error and the property is removed.

For more details, read: View component properties.

Enhancements to project management

Create a new type of report to see if a component is used in a workflow

When you're automating the activities that need to be completed for a project, you can create a sequential reviewer or topic workflow. To see if a component is being used in a project's workflow, you now can generate a report on the component. Inspire provides a usage report that gives you information about the workflow that includes the component you select.

For more details, read: Work with workflow usage reports for project components.

Enhancements to review management

Restrict discussion editing for a review in a State of Resolving

When creating or updating a review, you can configure an option to restrict discussion editing when the review goes to a State of Resolving. This allows you to restrict work in the Collaboration panel. By default, this option is not selected. If you leave it this way, all users participating in the review can edit or delete messages in the Component Discussions and Discussions (for the entire review) panes even after all users have completed their reviews. If you select this option to restrict discussion editing when the review goes to a State of Resolving, only the review coordinator or administrator can edit or delete their own messages in the Component Discussions and Discussions (for the entire review).

For more details, read: Restrict editing of review discussions.

Enhancements to translation management

Use a new option in the translation report to select all language components

You can verify which components are sent to and returned from a translation vendor by creating a report on the translation job. The report lists all components included in the job and provides the translation coordinator and vendor with a detailed record of the translation work. You can now use an option in the report called Select all language components. This option opens the folder that contains the components listed in a section of the report and adds them all to the Selected Components panel.

For more details, read: Create a report for a translation job.

Enhancements to publishing

Use more characters in the Publish Name

On the Publish Component screen, when you’re creating a Publish Name, you can now use up to 1000 characters. If you’re using tokens in the name and the resolved tokens use more than 1000 characters, the name is truncated.

For more details, read: How do I know the name of my publishing job?

Create attachments when publishing from a profile

When you open the Publishing module and select a publishing profile, you can use the right-click menu to select Publish and open the Publish Component screen.

Previously, if you selected the Create Attachment checkbox and tried to select a target folder, no folders were shown to select from.

Now, you can create an attachment when publishing manually from a publishing profile. The Target Folder now displays folders to select from.

For more details, read: Publish a component from a profile.

Enhancements to administration

See more events in the User Activity report

An administrator can generate a report on a user's Activity, including events such as SeatReserved, EditorOpened, ComponentSubmitted, and EditorClosed. Now the following activities are also tracked in the report: ViewerOpened, ViewerClosed.

For more details, read: Create a user activity report.

Allow the use of a shorthand syntax when creating internal links

An administrator can allow the use of a shorthand syntax to be used when internal links are being created in Inspire. By default, this feature is turned off (set to false) and links use the standard DITA format of {filename}#{rootId}/{elementId}. If you turn this feature on, all links to internal content use the shorthand format of #./{elementId}.

For more details, read: Allow internal links to use a short format.

License Manager 2025.1.5.0

Download the event log

As an Organization manager, you can log into License Manager and select the Event Log tab. The Event log shows you records of changes, such as when your organization or subscription details have been updated. You can also see updates to user seat configurations and if a security policy may have been violated or a security safeguard may have failed.

Now you can download all records in the Event Log by going to the top of the list and clicking Export. This action prepares a Comma-separated file (CSV) of all records. When you are notified that the process is complete, you can go to the My Files tab and download the file.

For more details, read: Download the event log.
