Enhancements to Component management

Share an editing session

Concurrent editing is now available and allows multiple Inspire users to edit the same component at the same time.

Another way to use a shared session is during a review. You can access the Share session option in the review editor's toolbar for any component you're reviewing.

Shared editing sessions follow this basic process:

  1. An Inspire user opens a component that can be edited.
  2. In the editor, this first user clicks the Share session button , and copies the link provided.

  3. The first user sends the copied link to another Inspire user.
  4. The second Inspire user (and any user with the link who wants to join) goes to their browser, selects the tab where they've logged in to Inspire, and pastes the URL into the address bar.

For more details, read Share an editing session.

Restore Deleted Components

After you delete a component it's stored in the Deleted Items folder until you permanently delete it. If you haven't permanently deleted a component yet, you can restore it to it's original folder.

For more details, read Restore Deleted Components.

See all external references in components

If you have a large amount of components and want to see what references they include that link to content outside of Inspire, you don't have to open each component to find the references.

Inspire stores a list of all external references from all components.

To see the External References folder:

  1. Click Components.
  2. In the Folders pane, under Deleted Items, click External References.

For more details, read: See all external references in documents.

Copy text from the Content Details pane

If you want to copy component details outside of Inspire, you can do it from the Content details pane.

  • The details you copy are saved in the Windows clipboard, which is a storage area for items that have been cut or copied.
  • You can then paste the component details from the clipboard to anywhere you want.
  • You can copy text from the Content details pane in the following places:
    • Components browser
    • An open project

For more details, read:

Insert multiple references into a map at the same time

When you're organizing topics into a map's hierarchy, you can add references to topics that you've already created. Now you can insert one or more references at the same time.

For more details, read: Add existing topics to a map in Oxygen.

Tooltips for unlabeled columns

When you open the Components tab, there are five unlabeled columns before Name that Inspire uses to show you an icon.

These icons quickly let you know the following characteristics of a component:

  • State ( Approved, Draft)
  • Lock ( Unlocked, Locked by you, Locked by another user, Locked by Inspire)
  • Branch ( Has branch, Is a branch, Has a branch and is a branch)
  • Follow ( Followed, No longer followed)
  • Share ( Referenced in another component )

If you forget what an icon means, you can hover your cursor over an unlabeled column heading to see a tooltip.

For more details, read: Things you can do on the Components tab.

New keyboard shortcut for switching between Author and XML modes

While you are using the Oxygen-based editor to create and edit XML-structured documents, you can choose between different ways to edit a component.

  • You can start out in Author mode, where you only see text.
  • In Author mode you can use menu options to show some XML tags.
  • You can switch to XML mode where you only see code.

Now you can use the following keyboard shortcut to switch between modes: Alt+fn+F5

For more details, read: Switch between Author and XML mode.

Support added for conrefend links

When developing XML content in the editor, if you use the conref and conrefend attributes, the values are adjusted properly to create valid links.

The conrefend attribute is used when referencing a range of elements with the conref mechanism.

  • The conref or conkeyref attribute points to the first element in the range.
  • The conrefend points to the last element in the range.

Enhancements to review management

Review binary and locked files

If you include content in your DITA topics such as an image or illustration, even though you can't edit the image in Inspire, you can still use a review to discuss the content.

This is true for any binary file you store in Inspire, as well as for components that are locked and can't be edited.

The review process for locked DITA topics and binary files is shorter than for unlocked DITA topics.

  • You don't need to wait for reviews to add their individual comments and mark their review as complete since the content can't be edited.
  • You only need to create a review and participants can comment in the Discussions pane.

Create a report on review changes and comments

As a participant in a review or an administrator, you can create a report to see:

  • If comments were discussed
  • If suggested changes were included in the final document
  • The reason for accepting or rejecting the changes.

Since all comment and change details are only collected when a review moves to the resolving phase, you should wait until all reviewers have completed their task before creating a report.

  • If you create a report when a review is in the Reviewing stage, you may see some comments and discussions from reviewers who've completed their review.

You can read all the details in the report by opening it in the Notifications tab.

For more details, read: See a report on review changes and comments

Enhancements to project management

Project Management column renamed

On the Project Management tab, the Component Assignments column has been renamed to Completed Assignments.

For more details, read: Things you can do on the Projects tab.

Workflow description limit enforced

In a project, when you use the Workflow wizard to create and update a workflow, you can no longer enter text in Description that exceeds 3000 characters.

  • The button to proceed to the next page of the wizard is disabled until you reduce the character limit to 3000 or less.
  • The button to update the workflow is disabled until you reduce the character limit to 3000 or less.

For more details, read: Create workflows to automate a process.

Enhancements to administration

Create a customized schema

You must have Administrator permissions to work with schemas.

In the Oxygen XML Editor used in Inspire, the rules defined in your schema report errors and warnings during automatic and manual validations.

  • This validation helps authors maintain the structural integrity of XML documents.
  • Inspire provides the framework for basic XML validation.

Now you can also specify a customized schema to use for validation.

Before you can create a new schema, contact support to enable the use of a custom schema.

For more details, read: Manage component schemas

Export your list of configured languages to a CSV file

You must have Administrator permissions to work with language management.

You can export a list of all languages used in Inspire to edit it or store the data for more complex analysis and reporting.

  • Inspire automatically downloads the list to your desktop in a comma-separated value (CSV) file.
  • The plain-text CSV file includes all data stored about a language in the grid, such as the name, language code, and if it has a dictionary.
  • You can't select which languages to include in the CSV file.
    • Even if you search for a key word or phrase in Language code or Name to filter the list, all languages are included in the CSV file.
  • You can't select which columns to include.
    • All columns that can be displayed are included in the CSV file, whether they are shown in the grid or not.

For more details, read Export a list of all languages.

Manage translation projects instead of vendors

You must have Administrator permissions to work with translation projects.

As Inspire continues to support integration with other applications, functionality and terminology may change.

  • The term Vendor management has been changed to Project management to allow for the cases where vendor information is already stored in another application that Inspire can communicate with.
    • For example, when integrating with Project Director, vendor details are already available and don't need to be changed.
    • In this integration scenario, Inspire doesn't need to capture new vendor information, but only request it from Project Director.
  • For some translation projects, the Status of At Vendor has been changed to In Progress.

  • For some translation projects, the previously used In Progress status (When a job is partially completed) has been changed to Partially Completed.

  • When you create a translation project and select an Integration Method of GlobalLink Connect:

    • Attributes come directly from Project Director rather than Inspire.

    • Languages come directly from Project Director rather than Inspire.

    • A Workflow option is displayed.

    • Due Date is automatically filled in with a value of 5 days after the current date.

For more details, read: Manage translation projects.
