Edit subscription users

Users who manage the Inspire subscriptions for your organization can change seat settings for existing users.

Tips and Tricks

  • To open the Inspire instance listed in the Application column, click the link in the Application name. For example, in the illustration above, you can click GlobalLink Vasont Inspire.
  • If your License Manager session times out due to inactivity, you may be asked to authorize your corporate account before License Manager opens again.
  • Signing out of License Manager does not sign you out of Inspire.
  • If you want to make the same changes to multiple users, you can edit them all at the same time. Follow the steps in: Edit multiple subscription users at once.
  • To understand how seat types work, refer to: View current subscriptions.

Important notes:

  • You can't add a user to the organization from the Subscriptions tab, you can only Include and manage users who have already been added. If you don't see a user listed when you edit a subscription, go to the Users tab and follow the steps in Add organization users.
  • If you have multiple subscriptions, the instance of Inspire you are managing is named in the Subscription's Domain Key.

If a user's seat has been locked, after editing the seat for any other user, the changes are never saved. This is known and expected behavior.

  • Before updating any seats in your organization's subscription, check the Locked column to see if any users are locked out.
  • To unlock a user's seat, follow the steps in: Lock or unlock a user's seat.

To edit subscription users:

  1. To open License Manager:
    1. In the top right corner of the Inspire menu bar, click the default profile picture or the one you previously added.
    2. Select My Profile...
  2. You may be asked to authorize your corporate account before License Manager opens.
  3. In License Manager, go to the menu on the left side and select Subscriptions
  4. On the Subscriptions page, if you have more than one subscription, select the one you want to edit, and then click Edit. (If you have multiple subscriptions, the instance of Inspire you are managing is named in the Subscription's Domain Key.)

    At the top of the Edit (Subscription) screen you can see the number and usage of seats.

  5. By default, the list of users is sorted by Email. To quickly find a user, do any of the following:
    1. Sort the list by clicking on the heading of any column. For example, to sort by a user's surname, click the Last Name column heading.
    2. To search for a user, in Search..., enter part or all of a keyword that can be found in the Email, First Name, Last Name, and Seat Type columns. The list is filtered as you type.
  6. To quickly change if a user's seat is included in this subscription, go to the user's row and do one of the following:
    1. To identify an organization user as belonging to the Subscription you're editing, select Include.
    2. To leave a user's account in the organization but do not include them in the Subscription you're editing, clear Include.
  7. To manage Named Seats:
    1. At the top of the Edit (Subscription) screen, note the number of Named Standard and Named Review Only seats you have assigned and the total number of seats you have to work with.
    2. To reserve a seat for a user so that they can always log in regardless of whether there are any concurrent seats available, in the user's row, in the Named Seat column, select the checkbox.
    3. To remove a user's Named Seat and reduce it to a concurrent seat, in the Named Seat column, clear the checkbox.
  8. To see and change all settings for a single user settings, click Edit. On the Edit User Info screen, do any of the following:

    1. To quickly change if a user's seat is included in this subscription, go to the user's row and do one of the following:
      • To identify an organization user as belonging to the Subscription you're editing, select Include.
      • To leave a user's account in the organization but do not include them in the Subscription you're editing, clear Include.
    2. To temporarily prevent a user from signing into Inspire:
      • Select the Locked option.
      • In Lock Expiration Date, select the calendar and choose the last day that the user is unable to sign into Inspire. The date must be later than the current date.
    3. To remove a lock and allow a user to sign into Inspire, clear the Locked option.
    4. In Seat Type, choose one of the following options:
      • Standard. Standard users can access all features of Inspire by default but access can be limited in Inspire by an administrator.
      • Review Only. Review Only users can only access the Review module in Inspire. An administrator cannot add access to any other modules for a user with this type of seat.
    5. To manage the Named Seat option for this user:

      Users with a Named Seat can always sign in regardless of whether there are any concurrent seats available.

      • To reserve a seat for a user so that they can always log in regardless of whether there are any concurrent seats available, in the user's row, in the Named Seat column, select the checkbox.
      • To remove a user's Named Seat and reduce it to a concurrent seat, in the Named Seat column, clear the checkbox.
    6. Click Update.
  9. On the Edit (Subscription) screen, to save all your changes, click Update.

    Results: your changes are saved to the instance of Inspire named in the Subscription's Domain Key.

    If you don't see the changes you made in Inspire, come back to the Edit (Subscription) screen and click the Sync button.
