Update the topic workflow template

Inspire provides you with a template for the process of developing content. If you want a workflow that contains different steps, or you want to add actions or transitions between activities and manage workgroups, you can update the workflow template to tell Inspire how to automate the workflow you need.

You must have permission to work with workflow templates.

  • By default, only users with the following permissions can create project workflows and assignments:
    • Administrator permissions
    • Access to the Project Module with the Create permission
  • Even if you don't have these permissions, you can be granted a special permission to create workflows and project assignments after a project is created.

If you want to update a workflow file in the following ways, go to the topic indicated:

If you move a workflow out of the Workflows folder:

  • It retains its file type of Workflow.
  • You can still select it when you're working in a project and click Create workflow.
  • To move a component, refer to the steps in Move components.

To update a topic workflow template:

  1. Click Components.
  2. In the Folders pane, select Workflows.
  3. In the Components pane, double-click Topic Workflow.
  4. In the workflow editor, do any of the following:
    1. To change the template Name, Description, or Type, click Edit. Make your changes and then click Save.
    2. To enlarge the display size of the template, click Zoom In. To reduce the display size of the template, click Zoom Out. To return to the default display size, click Zoom Default.
    3. To add an Activity to the review template, click Create Activity. Follow the steps in Manage workflow activities in a template.
    4. To create a transition between activities, follow the steps in Manage workflow transitions in a template.
    5. To manage Workgroups used in the template, follow the steps in Manage template workgroups.
    6. To manage Actions used in transitions, follow the steps in Manage transition actions in a template.
    7. To manage Statuses used in the template, follow the steps in Manage activity status in a template.
    8. To copy and paste an Activity or Transition:
      i. In the workflow editor, select an Activity or Transition. You see a red highlight around the box when it's selected.
      ii. In the toolbar, click Copy Selected. You see the red highlight disappear.
      iii. In the toolbar, click Paste.
      iv. If you pasted an Activity, follow the steps in Update an activity.
      v. If you pasted a Transition, follow the steps in Update a transition.
    9. To revert a change, in the toolbar, click Undo.
    10. To re-apply a change in the toolbar, click Redo.
  5. To save your changes, do one of the following:
    • To keep the workflow editor open and save your work locally, click Save Progress.
    • To close the workflow editor and save your work to the database, click Save and Submit.
