Cancel a translation quote in Inspire

In GlobalLink Enterprise, you need to have a submission before you can request a quote. Inspire tells GlobalLink to create a submission when a quote is requested, but the translation job is not started until you approve the quotes. If you don't want to approve the quotes as presented in Inspire, you must cancel the translation job in Inspire.

You must have permission to be a translation coordinator or be an administrator before you can send a component to translation or manage a translation job.

Inspire does not allow a quote request to be cancelled at this time.

  • If necessary, you can manage any further quote negotiations for the submission in GlobalLink Enterprise.
  • To cancel a quote request in Inspire or if you don't want to approve the quotes, you must cancel the translation job.

However, keep the following issues in mind:

In GlobalLink Enterprise, you cannot start a submission if you reject the quotes. If quotes are used, the submission must have an approved quote before the work can begin.
  • If you don't want to approve the quotes in Inspire, you may need to open the submission in GlobalLink Enterprise to request new quotes or make adjustments before proceeding with the submission.
  • In Inspire, you can't reject a quote, approve some quotes and not others, or cancel a quote request. You can complete those tasks in GlobalLink Enterprise or cancel the entire translation job in Inspire.

The Inspire user does not have to approve all quotes before translation work begins in GlobalLink Enterprise. However, this behavior may vary depending on how you have configured your Project in GlobalLink Enterprise.

If you are using multiple vendors, a vendor can only begin work if you approve the quote. Not approving a quote for a vendor may result in a translation job being only partially completed. You may have to Force complete the job and resubmit a new translation job for the language or vendors who quote you did not approve.

If you do not want to approve all quotes in Inspire, no translation work is started.
  • A Queued job that has a quote request pending cannot be submitted. Inspire is designed to start the translation job automatically when all quotes are approved.
  • If necessary, you can manage any further quote negotiations for the submission in GlobalLink Enterprise.
  • However, if you start the submission in GlobalLink Enterprise, you must manually import the translated files back into Inspire.
  • After managing quotes in GlobalLink Enterprise to receive one you can approve, you should create a new Inspire translation job to manage the file transfers.
  • You can force a State of Completed for a Queued Submission. In this case, Inspire will leave the target files it created in Inspire. Using this option lets you cancel the submission in GlobalLink Enterprise also.
  • If you want Inspire to remove the target files that were never translated, then you must Cancel the queued job. Using this option lets you cancel the submission in GlobalLink Enterprise also

Before you begin

  • You must be sending the translation job to GlobalLink Enterprise to get a quote in Inspire.
  • You may be asked if you also want to cancel the translation job in GlobalLink Enterprise. If you want to continue negotiating a quote a request a new one, you can choose not to cancel the job there.

    If you want to cancel a translation job that was sent to an integrated vendor, an administrator can configure Inspire to send a message to the vendor's application to cancel the job there also.

    Configure an integration project to accept cancellations

  • Due to the fact that you are cancelling a translation job before target files are translated, Inspire removes the target files.

To cancel a translation quote and job in Inspire:

  1. Select Translations_TopMenuOpt Translations.
  2. On the Translations Management tab, in the list, find the Quoted Submission translation you want to cancel.

    On the Translation Management tab, you see a list of translation jobs filtered by your role.

    • Both administrators and translation coordinators are able to view translation jobs created by themselves as well as those created by other users.
      • Translation coordinators who aren't also admins can select or clear the See All option to filter the list.

        After you select the See All option, you must click Search to see an updated list of jobs.

      • Translation coordinators who are also admins don't get the See All option because as an Admin they can already see all jobs in the organization.
    • Users who don't belong to either of these roles don't get the See All option and can only see the translation jobs they created.
    If you can't find the job you're looking for, do any of the following:
    • If there are multiple pages, scroll to the next page using the controls at the bottom of the list.
    • Sort the list by clicking a column heading.
    • Search for items in the list that contain a key word or phrase.
    • Limit the list to show only jobs in the Cancelled state. By default, the options for Include Completed and Include Cancelled are already selected.
  3. Right-click on the job or use Action_Menu the Options menu to select Cancel.

    The Cancel option is available for jobs in all States except for Completed.

  4. In the Cancel Translation message, click Yes.
    If you want to cancel an entire translation job sent to a vendor with the following criteria:
    • The vendor is working in an external application that Inspire can communicate with, such as GlobalLink Enterprise.
    • An administrator configures that vendor as using API Integration.
    • An administrator configures that Translation Project to accept cancellations.
    • The translation is currently in the Translating, At Vendor, or In Progress state.
    You may see a message asking if you also want to also cancel that job in the external application.
  5. If you see a Cancel in GlobalLink Enterprise message, click Yes.
    Results:
    • You see a notification that the process has started.

    • You see a notification when the process completes.

    • On the Translations Management tab, for the selected job, you now see a State of Cancelled.

    • As the translation coordinator, you'll receive an email notification for each translation job you cancelled.
    • When you complete a task that triggers a notification, such as managing translation jobs, the Slack and email message bodies contains:
      • The translation job ID. (For GlobalLink Enterprise and TransPerfect jobs.)
      • The translation job Name.
      • A list of target Languages used in the translation job.
      • If the job was successfully Cancelled in GlobalLink Vasont Inspire.
      • User Name of the account that completed or cancelled the translation job.
      • The notification with ten or less Issues, Errors, and Warnings.
      • A link at the bottom of the message [See Full Version].
