Export content from a project folder

You can download a copy of project content stored in Inspire projects as a way to back up important content or to move it to another application that Inspire doesn't communicate with.

A content owner or administrator can set permissions to deny access to components or folders. If your permissions to content has been blocked and you are not an administrator, you cannot use the Export option in a project's Content pane.

To export content from a project folder:

  1. Click Projects_TopMenuOpt Projects.
  2. On the Project Management tab, select the project and double-click it.
    You can also open a project by:
    • Right-clicking the project and then selecting Open.
    • Clicking Action_Menu the Options menu and then selecting Open
  3. In the Content pane, to list all the components in the project click the Expand all icon.
  4. Select the folder whose components you want to export, right click, and select Export.
  5. On the Export Components screen, select an Export Configuration (Standard) from the list.
    An administrator can choose an export configuration to be shown automatically as the default. If you need to use something other than the default, you can select another option.
  6. If you don't want to allow users to edit the component after you export it, select the Lock for Editing option.
    You won't see the Lock for Editing option if a component is already locked by the system or another user.
  7. If you want to verify that your XML code in your component is valid according to your framework at the time of export, select the Validate XML option.
    By default this option is not selected.
  8. Click Export.
    Results: You see a message that the export has begun.
    • If you see a warning notification it means that the component was locked during export or you did not have permission to export the components.
    • When you complete a task that triggers a notification, such as exporting content, the Slack and email message bodies contain:
      • The notification with ten or less Issues, Errors, and Warnings.
      • A link at the bottom of the message [See Full Version].
      • You can click the [See Full Version] link to expand a section under the link with the full details.
    • Export file names

      Exporting one file scenarios:

      • If you export one component only and no references, the component isn't packaged in a ZIP file. Exporting a single component without references uses the following naming format:

        {ComponentFileName}.xml

        • For example, Cloud_Computing_fd22225c-846f-4ed1-be0c-20a10e4e7f67.xml.
      • If you export only one component and include references, the components are packaged in a ZIP file. Exporting a single component with references uses the following naming format:

        Export-{ComponentName}-DateTime.zip

        • For example, Export-Cloud_Computing-2024-12-27-051608.zip.

      Exporting multiple file scenarios:

      If you export more than one component, regardless of whether you include references, the files are packaged in a ZIP file. Exporting multiple components uses the following ZIP name:

      Exports-DateTime.zip

      • For example, Exports-2024-12-27-050426.zip.
      • No Component Name is included.

      If you have Administrator permissions, you have the option to export the folder structure along with the components. Follow the steps in Export content as an Admin.

  9. To download the exported content, do any of the following:
    • Go to your email Inbox and open a message from noreply@vasont.com with a subject line of Export completed successfully. Click the link to download your exported content.
    • In the top menu, click Notifications Notification TopMenu. From the list of notifications, with a subject line of Export completed successfully. Click the link to download your exported content.
