Update user accounts

After an account has been assigned an Inspire license, you can view the user account information and update its roles. You can also add notes to an account if necessary. While all the remaining tabs are read-only, you can use the Options menu to access the Go To option. This is helpful if you want to see the module, project, review, or assignment where the user is participating.

There are various ways to update an account and restrict a user's access:
  • You can remove a user's ability to access content by updating the account and removing some or all of the assigned roles. Follow the steps in this topic.
  • If you want to stop a user from logging in, follow the steps in Remove user access.
  • If you want to reassign a user's Inspire license to a different person, contact your Vasont Inspire representative.

To update a user account:

  1. Click Security and select User management.
  2. On the User management tab, to see hidden support user accounts, select Include support users.
  3. To limit the list of user names to only those containing a word or phrase, in Search, enter text.
    You see matches for your text as you type.
  4. To update an account, double-click the account's row.
    You can also update an account by going to the end of the account's row, and clicking Update.
  5. Optionally, if you want to email this user about any changes you're making, click the link under the profile picture.
  6. Optionally, on the User Details screen, enter any necessary text in Notes.
    The information in the Notes text box is not displayed anywhere else in Inspire.
  7. To manage the roles attached to this user, select the Roles tab.

    1. To add a role, select Add Roles...
    2. On the Select Roles screen, in Available Roles, select a row to see details about what a role grants and requires.
    3. To assign a role, select its checkbox.
    4. After selecting all the roles you want to add, click Select.
    5. To remove a role, go to the end of the user's row, and click Remove role association.
      Notes:
      • Removing all roles removes the user's access to most Inspire features. The user can still log in until their account is removed, but they won't have access to most menus.
      • You can add a role back if you remove one in error or want to assign the role again later
  8. To see a list of modules this user was added to as an individual, select the Modules tab.

    Important:
    • This list is read-only and shows specific modules that the user is limited to.
    • If this list is empty then the user can access all modules in Inspire.
    • The Modules tab only shows the modules individually associated with the user and not the role. Therefore, you will not see the list of modules associated with the roles, because one user can have multiples roles.
  9. To see a list of projects where a user is listed as an Owner or Participant, select the Projects tab.

    1. To open a project in a new tab, at the end of the row, select Options.
    2. Select Go to.
  10. To see a list of reviews where a user is the coordinator or a reviewer, select the Reviews tab.

    1. To open a review's details in a new tab, at the end of the row, select Options.
    2. Select one of the following:
      • To open the Reviews Management tab and see the review in the list, select Go to.
      • To open the review for editing or commenting, select Open review.
  11. To see a list of project assignments that have been given to the user:

    1. To open a project in a new tab and see the list of assignments, at the end of the row, select Options.
    2. Select Go to.
  12. To save your changes, click Update.
