Update a topic workflow

Users with permissions can easily update workflow details to make changes to the components being reviewed and the users who are completing the assignments.

Required permissions

To create, view, update, and delete workflows you must either be an Administrator, the project Owner, or have the following permissions:

  • A Seat Type of Standard. If the user has a Seat Type of ReviewOnly or Support, they cannot be given permissions to start a workflow. Administrators can see a user's seat type in the Security module on the User Management tab. Refer to the topic: Things you do on the User Management tab.
  • Create, read, update, and delete permissions to the Projects module.
  • For the Projects module, your user account must be listed under the following Property: can_initiate_assignment.

Tips and tricks

You can only update the following details of a topic workflow:

  • Workflow Name
  • Due By
  • Description

You cannot update the following details of a topic workflow:

  • Template
  • Workflow Owner
  • Participants
  • Activities

To change any of these details you must cancel the entire workflow and re-create it.

To update a topic workflow:

  1. Open the project where you want to update a workflow for an assignment. If you don't already have a project open:
    1. Click Projects.
    2. On the Project Management tab, find the project you want to update.
    3. Right-click the project row and select Open.
  2. In the Workflow pane, select the workflow you want to update, select the Options menu, and then select Update.
  3. On the Update Workflow - Step 1 screen:

    You cannot update the Template you selected, or the Workflow Owner.

    1. In Workflow Name, edit title using 50 characters or less.
    2. Optionally, you can set a new deadline. In Due By, either enter a date or click the Date picker and select a date.
    3. Optionally, enter any additional information in the Description text box.
    4. Click Next.
  4. On the Update Workflow - Step 2 screen:

    You cannot update any of the Participants on this screen. To remove a participant you must cancel the entire workflow.

    1. Click Next.
  5. On the Update Workflow - Step 3 screen:

    You cannot update any of the Activities on this screen. To remove an activity you must cancel the entire workflow.

    1. click Update.
