Create an AI index for submittals

As an administrator, you can create an index to allow users to add data to it and enable the AI-powered search in Oxygen. The index stores numerical representations of data that is saved after a user clicks the Submit and Save button in the Oxygen editor.

Tips and tricks

  • After content has been added to the index, authors working in Oxygen can use the AI-powered search to find content that has already been written to reduce the amount of redundant content and avoid the need to update duplicate content in multiple components.
  • After an administrator creates an index, users can also manually add any content to it from the Selected Components panel.
  • You can only create one index per action. If you try to create another index for the Submit action, you see the following error:

  • If an index already exists for the Submit action and you want to rebuild it to make sure it includes the latest content, you must use the Build action. Follow the steps in Build an index from administration.
  • If an index already exists for the Submit action and you want to replace it, you must delete it first. To delete an existing index for Submit, follow the steps in Delete an index.

To create an AI index for Oxygen submittals:

  1. From the Administration menu, select Advanced Settings, and then AI configuration management.

  2. On the AI configuration management screen, click Create.
  3. On the Create AI Index screen, in Action, select Submit.

    Results: The Create AI Index screen closes. You see the AI Index for Submit in the list.

    Users can now add content to the index by:

    • Opening a component in the Oxygen editor and clicking the Submit and Save button.
    • Manually building an index to include multiple components selected in the Components browser. The AI Assistant option is available in the Selected Components pane.

    If you need to reference the AI Index ID, you can quickly copy it to the clipboard by going to the ID's row and clicking the Copy to clipboard icon.
