Save a copy with select references

You can create a component by saving a copy of one that already exists. If you want to choose which references to save from the original component and add to the new copy, you can use the Save as a copy... option. This options lets you select whether the new copy maintains all, some, or no content referenced from the original component.

Tips and tricks

The Save as a copy option does not maintain relationships between the original component and the copy. If you need that feature, use the Save as a branch option.

Whenever you save a component in any way, Inspire ensures content that is read from Right-to-Left displays correctly in Oxygen.

For the topic's language, Inspire sets the Reading property in these cases:
  • If it doesn't exist yet
  • Only if the language Reading property is rtl (Right-to-Left)
  • For example: <concept id="concept_guid" xml:lang="ar-Ar" dir="rtl">
  • If the language Reading property is ltr (Left-to-Right), Inspire makes no changes.

Other ways to save a copy of a component:

  • Quickly save a copy with all references. You can quickly save a copy and all of its references and permissions using the Save as... option. For more information, read Save a copy with all references.
  • Save as... a branched component. If you want to choose which references are included and you want to maintain relationships with the copy, you can choose to use the Save as a branch option. For more information, read Create a component branch.
  • Use Save as... outside the Components browser. If you are working in other parts of Inspire, you can also access the Save as... option while doing these tasks:

Save a copy of a component with select references:

  1. From the top menu, click Components.
  2. In the Folders pane, navigate to the folder where you've saved the component.
  3. In the Components pane, find the component you want to create a copy of.
  4. In the list, to select the row, click it.
  5. Right-click the row, select Save, and then select Save as a copy.
    You can also click the Options menu, select Save, and then select Save as a copy.
  6. On the Save as copy screen, select Show referenced components.

    If this is the first time you are selecting Show referenced components for this component, then you are prompted to make a selection:

    • YesWait for the list to be built. If you choose to wait, the Save as copy screen stays open while the references are being collected.

      a. Look for a notification in the top right corner of your Inspire screen telling you that the list of references for the component has been built.

      b. Continue on to Step 10 to select the references you want to keep.
    • NoBe notified when the list has been built. If you choose not to wait, the Save as copy screen closes.

      a. Look for a notification in the top right corner of your Inspire screen telling you that the list of references for the component has been built.

      b. Do one of the following:
      • Open notification in the Notifications module to go to the component that you were working with
      • Select the component again and select Save as branch...

      c. Continue on to Step 10 to select the references you want to keep.

    If this is not the first time you are selecting Show referenced components for this component:

    • The list of references has already been built for the component and is saved in Inspire.
    • When you choose Save as copy and select Show referenced components the list appears right away.
    • You won't see the prompt again unless you select a component that doesn't have a saved list or if you update the component after the list is saved.
    Results: You see the list of referenced components in the Hierarchy view by default.

  7. On the Save as copy screen, choose where to save the copies:

    1. By default, the Target Folder is set to the same folder where the original component is stored. Optionally, you can select a different folder where you want to store the new components.
    2. If you want to create copies of all selected components (source and reference) in the Target Folder, do not select the Keep folder structure option.

      For example:

      In this example, all copies can be found in the Concepts folder.

    3. If you want to create the copies of all selected components (source and reference) in their current folders, select the Keep folder structure option.

      For example:

      In this example, the copies are found in different folders according to where the original was stored.

      If you selected a different Target Folder and the Keep folder structure option, Inspire creates the copies in the same folder structure as they had, but under the Target Folder you just selected. If the folders do not exist, Inspire creates them.

      For example:

      In this example, the copies are found in different folders according to where the original was stored, but under the folder Version 2.0.

  8. Optionally, to append a keyword or phrase to copy's name, in Label, enter your text.
  9. Optionally, you can Rename the copy of component you selected:

    1. By default, the name for the copy is the same as the source component, with the Label attached. For example, Using_Your_camera_Label_335f7a77-6859-42d0-bdbe-755bd442a0cd.xml. If you want to create an entirely new filename, select Rename.
    2. After you select Rename, you see a new field for Name. Enter in a new name for the component's copy. For example, you can rename the Using_Your_camera component to Using_Q1300_camera.

      You can use a maximum of 1000 characters.

      Results:

      • The new component you are creating as a copy will have a filename of {Rename}_{Label}_GUID. For example, Using_Q1300_camera_Label_335f7a77-6859-42d0-bdbe-755bd442a0cd.xml.
      • Referenced components will not include the name you enter in Rename. All referenced components keep their name with the Label attached. For example, {Name}_{Label}_GUID. For example, Chapter1_Label_930fcf68-bfdf-435c-b21b-754f25aebdb7.xml.
  10. In the Referenced components dropdown menu, the All referenced components option is selected by default.

    You can change this to any of the following:

    In the Referenced components menu, if you chose anything other than No referenced components, you'll see a list of references.
  11. By default, you see references in a hierarchical view. If you want to work in this view, do any of the following:
    1. Only the source component is selected. To keep all references in the copy, select its checkbox. To choose all components at once, select the checkbox in the column heading.
      You can't clear the checkbox for the source component. If you don't want to save references in the original component, click Cancel, find the source component you want to use, and then select Save as a copy again.
    2. To help you find a reference, use the expand and collapse buttons:
      • To expand all parent topics, click
      • To collapse all parent topics, click
      • To expand one parent topic, click
      • To collapse one parent topic
  12. If you want to work with references in a list instead of a hierarchy, select List View, and then do any of the following:
    1. To keep all references in the copy, select its checkbox.
      You can't clear the checkbox for the source component. If you don't want to save a copy of the source component, click Cancel, find the source component you want to use, and then select Save as a copy again
    2. To help you find a reference, if you know the name, you can search the Name column. In Search, enter text and press Enter.
    3. Another way to find a reference is to change which columns are displayed. Place your cursor next to the name of any column and click the down arrow. Select any of the following options:

    4. To sort the list of components to find a reference, next to the column name that you want to sort by, click the down arrow and select Sort Ascending or Sort Descending.
  13. Select the checkbox for each reference you want to include in the new copy.
  14. Optionally, you can apply profiling attributes to filter the text before the new copy is saved.

    1. To apply a collection of filters to the text before the copy is saved, click Add Filter.
    2. On the Filter profiling attributes screen, do any of the following:
      • In Saved Filters, select the collection of profiling attributes you want to apply. You see the profiling attribute boxes checked for those that are included in the filter. (To manage filters, read: Create a collection of attributes to apply)
      • Select the checkbox next to an individual attribute. Repeat this action to select all the attributes you need.
      • To automatically select all values for an attribute, select the checkbox for the category that contains all the attributes. Category name are displayed in Bold.

      Keep the following issues in mind:

      • If the option you select is listed in another category, Inspire selects it automatically there too.
      • The number of options you select is listed in parenthesis after the category name.
      • If you don't see a value you need, ask your administrator to add it.
    3. On the Filter profiling attributes screen, click Select.

      Results: You see the filters that will be applied to the copy of the component listed.

      Optionally, if there is a filter applied but you want to create an exact copy of the text with no profiling attributes, click Clear Filter.

  15. Optionally, to save the list of references to a CSV file:
    1. Click Save as CSV.

      By default:

      • The components are listed in the CSV in the following order:
        • By Sequence ID
        • This means you see the components listed in CSV in the same order as in Hierarchical view.
      • The CSV file contains the components based on the filters you select.
    2. On the Convert time confirmation screen, select Yes or No.

      Result: You see a notification telling you the name of the file that was downloaded to your computer.
      The CSV file name uses the following format: ComponentReferences_MM-DD-YYYY-HH-MM-SS-Millisecond.csv
  16. Click Create.

    Results:

    You see a message that the copy is being created.

    After you see a notification that the process completes:

    To find your copies:
    • If you did not change the Target folder, your copies are now in the same folder as the original component.

      If you also selected Keep folder structure, the copies of all selected components (source and reference) can be found in the same folders as the original instead of the Target Folder.

    • If you did change the Target folder, your copies are in the selected folder.

      If you also selected Keep folder structure, the copies of all selected components (source and reference) can be found in different folders according to where the original was stored, but under the folder you selected in Target Folder.

      Inspire creates new subfolders if they didn't exist under the Target folder you selected.
